This privacy policy explains how Kantoku collects, uses, and protects your personal data. We have written it in plain English because we believe you should understand what happens to your data without needing a law degree.

Data controller

What we collect

We collect the minimum data necessary to provide and improve the service:

• Account information: your email address and name, used for authentication and communication.
• Document metadata: titles, timestamps, and word counts. This helps us provide features like version history and usage tracking.
• Usage data: which features you use and session duration. This helps us understand how to improve Kantoku.

We do not read or store the content of your documents beyond what is necessary for the coaching feature to function during your active session.

AI processing

When you use Kantoku's coaching feature, your document text is sent to our AI provider (Anthropic) for processing in real time. This processing happens during your active session only. Your content is not stored by the AI provider after the session ends, and it is not used for training AI models, by us or by Anthropic.

Version history

Kantoku's git-based provenance feature stores the version history of your documents. This data belongs to you and is exportable at any time. It is stored to provide the provenance and audit trail features that are core to Kantoku's purpose.

Third parties

We work with a limited number of trusted service providers:

• AWS: hosting and infrastructure
• Stripe: payment processing
• Anthropic: AI provider for the coaching feature
• Fastmail: for transactional emails

We do not sell your data. We do not use advertising networks, data brokers, or third-party analytics services.

Data retention

• Active accounts: your documents and version history are retained for as long as your account is active.
• Account deletion: all data is deleted within 30 days of receiving your deletion request.
• Free tier inactivity: data associated with free accounts is deleted after 12 months of inactivity. We will notify you by email before deletion.

Data location

Primary data hosting is in AWS Singapore (ap-southeast-1). Institute and Enterprise customers may specify alternative data residency options including EU, US, and APAC regions.

Your rights

We are committed to compliance with the Singapore Personal Data Protection Act (PDPA), the EU General Data Protection Regulation (GDPR), and the California Consumer Privacy Act (CCPA).

You have the right to:

• Access your personal data
• Export your documents and version history
• Correct inaccurate personal data
• Delete your personal data and account
• Object to processing of your personal data
• Withdraw consent where processing is based on consent

Cookies and tracking

The application (app.kantoku.coach or demo.kantoku.coach) uses a minimal session cookie for authentication. We may use analytics on the homepage (kantoku.coach) to understand how visitors use the site and improve your experience. We do not use third-party advertising cookies or sell data to third parties.

Children

Kantoku's public hosted offering is not directed at children under 16. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us immediately.

Changes to this policy

We will notify registered users of material changes to this privacy policy by email at least 14 days before they take effect. The "last updated" date at the top of this page reflects the most recent revision.
